How to use AutoText template in Outlook

We had already seen about creating email templates to avoid repetitive work in Outlook 2016, 2013 and 2010. Auto Text is another template like feature that allows users store pre defined text which gets highlighted when you start typing the first few lines of the text and pressing Enter key will automatically populate the text.

Creating Auto Text entry in Outlook

You can create AutoText templates for the text which gets used very often when you are writing an email in Outlook. For example, if you send lot of emails to your subscribers then you can add some thing like “Dear readers” as a AutoText entry. This can be done by typing Dear readers in New Message window, then press Alt + F3 after selecting the text. This would display the following Create New Building Block window.

You can provide a description for your new entry and click Ok button. Now when you start typing first few letters of “Dear Readers”, Outlook will start highlighting the AutoText entry as shown below.

On Pressing Enter key, “Dear Readers” will be automatically populated in the message window.

Manage AutoText entries in Outlook

Users of Outlook can manage AutoText entries by using option available as part of Insert menu. Click the Insert menu in New Message window, then Quick Parts –> AutoText. Right clicking on the AutoText entries will display menu list with Organize and Delete option.

How to quickly block sender in Outlook

If you are receiving junk or spam emails in your Outlook email client and you do want to receive emails from these senders then you can use Junk email settings in Outlook to block these senders. To quickly block a sender in Outlook 2016, 2013 & 2010, select by right clicking the email and pick Block Sender option from the menu list.

This would display the following confirmation message and the message will be moved to the Junk email folder.

Instead of selecting Junk email options from the context menu, you can also try the Junk menu option which is available as part of the Home Menu.

Print list of emails in Outlook

We know how to quickly print an email message in Outlook 2016, 2013 & 2010. And in this tutorial we will be seeing the steps required for printing the list of emails in Inbox or any folder. This would be quite useful when you have daily task schedule meeting with your team and the tasks for each individual is allocated based on the emails received for that day.

Click the File menu and select Print from the menu list.

Then navigate to Settings section and select Table Style from the list. This would only print heading information of the emails as displayed on your Inbox.

In case if you want to include other columns in the list then you can use the View –> Change View Settings to pick the desired columns.

Quickly print emails and attachments in Outlook

Outlook 2016, 2013 and Outlook 2010 allow users to quickly print email & attachments using quick print options available as part of context menu. This is quite useful when you do not want to open an email and print the attachments.

First you need to enable the default printer under Print options. Click File menu –> Print

In the Print screen, click Print Options button and mark the check box with caption as “Print attached files. Attachments will print to the default printer only.”

Now you can navigate to the email with attachment. Right click and select Quick Print from the right click context menu.

How to enable auto filter for protected sheet in Excel

We had already seen the following tutorials related with protection of worksheet in Excel 2016, 2013 & 2010.

  • Prevent users from adding new worksheet.
  • Password Protect Worksheet in Excel.
  • Unprotect Worksheet in Excel.

And if a worksheet with auto filter is protected then users will not be able to use auto filter unless it is enabled while protecting the worksheet. This tutorial is about the steps required for enabling auto filter for a protected worksheet in Excel 2010.

Click the Protect Sheet option available under Review menu or Info menu.

Click File menu –> Info menu –> Protect Workbook –> Protect Current Sheet.

On clicking the Protect Sheet option would display the following Protect Sheet window.

Scroll down the “Allow all users of this worksheet to” list and make sure to tick the check box with caption as “Use AutoFilter”. Click OK button to confirm and save the changes.

Now excel users will be able to use the auto filter option even in a protected worksheet.

How to change worksheet theme in Excel

In this short tutorial we will be seeing how to change theme of worksheet in Excel 2016, Excel 2013 & Excel 2010. You can change the theme using the option available as part of the Page Layout menu.

Navigate to Page Layout and click the Themes menu option under Themes section. The themes option allows users to change the overall design of the worksheet including fonts, colors and effects.

From the Themes drop down, you can pick any theme from the built-in list. If you want to look for more themes then you can download themes from office.com and select it using the Browse For themes option. Excel 2010 also provides option to save the current theme for future re-use.
